1. Who is responsible for your information
Profolio operates this application and is the responsible party for personal information processed through it. The operator’s legal name, address and registered Information Officer contact must be added before public release. This notice is provided in line with the Protection of Personal Information Act, 4 of 2013 (POPIA).
2. Information we collect
We process account details such as your name, email address and authentication identifiers; profile information and a locally stored profile photo; resume information and files you choose; gigs, bids, messages, resume shares, ratings and reviews; approximate or precise device location when you choose location-based gig discovery; and limited app usage and diagnostic information when analytics is enabled. Messages, resumes and attachments may contain personal information about you or other people, so only include information you are authorised to share.
3. Why we use it
We use personal information to create and secure accounts, save and generate resumes, display nearby or relevant gigs, connect gig creators and bidders, enable sharing and messaging, show reputation information, provide support, prevent abuse, maintain security and improve the app. Required account and transaction information is necessary to provide these features. Location and analytics are optional.
4. Who can see or receive it
Signed-in users may see information you deliberately publish in profiles, gigs, bids or reviews. Resumes are private unless you share them. Messages are available to the participants in the relevant chat. Service providers used to operate the app, including Google Firebase services for authentication, database hosting and analytics, process information on Profolio’s behalf. We do not state that personal information is sold.
5. Storage and transfers
Cloud information is processed using Google Firebase and may be stored or supported outside South Africa. Local profile photos and selected local attachments remain on the device unless a feature clearly uploads or shares them. Cross-border service providers must be assessed and governed by appropriate contractual and security safeguards before public release.
6. Retention
Active account information is kept while needed to provide the service. You can edit profile and resume information and request account deletion. Marketplace records involving another user, including gigs, bids, ratings and messages, may need limited retention for safety, disputes, legal duties and the other participant’s records. A formal retention schedule and deletion-request contact must be published before release. Information no longer lawfully required should be deleted, destroyed or de-identified.
7. Your choices and rights
You may request confirmation of whether Profolio holds your personal information and request access, correction or deletion. You may object to processing where POPIA permits and withdraw optional analytics or location permission without losing unrelated features. Profile information can be corrected in the app. Account deletion is available in Account Settings, although related marketplace records may require a separate verified request.
8. Security and incidents
Profolio uses authentication, access rules and participant-based permissions to limit access. No system can guarantee absolute security. Suspected compromises must be assessed and, where required, reported to the Information Regulator and affected people as soon as reasonably possible.
9. Children and sensitive information
The marketplace is not designed for children and public release should be restricted to people aged 18 or older unless a lawful child-consent process is introduced. Avoid placing identity numbers, health information, criminal allegations, biometric data or other unnecessary special personal information in resumes, gigs or chats.
10. Complaints and contact
Profolio’s verified privacy contact, responsible-party address and Information Officer details are pending and must be inserted before public release. You also have the right to complain to the Information Regulator (South Africa) using the current contact details published at inforegulator.org.za.
11. Changes to this notice
Material changes will receive a new version date and should be presented in the app before they apply. Continued use alone will not be treated as consent where POPIA requires an express choice.
